6. Sharing your information
We do not sell personal information. We share it only with service providers who process information on our behalf under written agreement, such as our website host, email provider, cloud storage provider, customer relationship management system and accounting software [list the specific providers used]; with professional advisers such as our accountants, auditors, insurers and lawyers, where necessary; with regulators and law enforcement, where we are legally required to disclose information; and with a purchaser or successor, in the event of a sale, merger or reorganisation of our business.
All service providers are required to keep personal information secure and to use it only for the purposes we specify.

Some of the service providers we use store data outside Ghana. Where personal information is transferred internationally, we take steps to ensure it remains protected to a comparable standard, including by using providers who commit contractually to appropriate safeguards.
8. How long we keep information
We keep personal information only for as long as necessary for the purposes described in this policy, including to meet legal, accounting and reporting requirements. Our general retention periods are: enquiries that do not become clients, [e.g. 24 months from last contact]; client records and contracts, [e.g. 6 years after the end of the engagement]; financial and tax records, as required by Ghanaian tax law; unsuccessful job applications, [e.g. 12 months unless you ask us to keep them longer]; marketing subscriptions, until you unsubscribe; and website analytics, as configured in the analytics platform.
[Confirm each of these periods against your actual practice before publishing.]
9. How we protect information
We maintain technical and organisational measures appropriate to the risk, including access control on a least-privilege basis, multi-factor authentication, encryption of data in transit, endpoint protection, managed patching, monitored backups and staff security awareness training. We review these measures periodically.
No system can be guaranteed completely secure. If a breach occurs that is likely to affect your rights, we will notify you and the Data Protection Commission as required by law.

Subject to the conditions set out in applicable law, you have the right to be informed about how your personal information is used; to request a copy of the personal information we hold about you; to ask us to correct information that is inaccurate or incomplete; to ask us to delete information where there is no continuing reason for us to hold it; to object to processing based on legitimate interests; to ask us to restrict processing in certain circumstances; to withdraw consent at any time where we rely on it; and to complain to the Data Protection Commission of Ghana, or to your local supervisory authority.
To exercise any of these rights, email info@raymodaw.com. We will respond within the period required by law. We may ask you to verify your identity before we release information.
11. Client data we process on your behalf
When we deliver services to a client, we often process personal information that belongs to that client, for example the personal data held in a system we support, migrate or develop. In those circumstances the client is the data controller and Raymodaw acts as a data processor.
Our processing in that role is governed by the written agreement between us, which sets out the scope and purpose of the processing, the security measures we maintain, the use of any sub-processors, confidentiality obligations, breach notification arrangements and what happens to the data when the engagement ends. This policy does not override those terms.
12. Children
Our website and services are directed at businesses and organisations. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
13. Changes to this policy
We may update this policy from time to time. The current version will always be published on this page with the date it was last updated. Where changes are significant, we will take reasonable steps to notify you directly.
